The client privacy policy will provide you information on how Therapy Sphere will collect and process your data in line with GDPR regulatory requirements. Therapy Sphere, will hereafter be known as ‘we’, ‘our’ and ‘us’ for the remainder of this page. This policy may be updated from time to time. Please check it regularly for any changes. What Information We Collect About You?

The Collection of Personal Data

We are committed to respecting and protecting your rights to privacy and safety. We collect and use the following personal information to provide counselling sessions (through both face to face and online sessions). The disclosure of what is known as ‘special categories of personal data’ to us such as health information (both physical and mental) is collected. The following personal information collected may include the following:

  • Your Name and Contact Details
  • Your Address
  • Your Date of Birth
  • Your GP and Emergency Contact Information
  • Important health and safety Information (e.g. any known allergies and health conditions)
  • Any relevant Gender and Pronoun Information you wish to share
  • The collection of meeting information and decisions.

Personal Data Retention (how long we keep information?)

Initial Counselling Enquiry

During the initial stages of enquiring about counselling sessions, minimal information will be collected and stored by us. This information can be collected via our website ‘contact me’ form, from an email, or during an initial call with you. If you do not proceed with counselling sessions then your information will be removed from our records.

Counselling Sessions

Throughout your counselling both paper notes and digital information will be anonymised. Counselling session paper notes will be stored in a secure locked cabinet and all digital data will be stored within a password protected application on a secure laptop. Mobile phone contact information for communicating with you will be password protected. Both methods of counselling sessions (face to face and online) will be conducted within a private confidential space. Anonymised counselling notes are kept in line with my BACP registration and for Counsellor Supervision sessions.

Completion of Counselling Sessions

All client personal information will be stored within a secure locked cabinet and kept for 5 years following completion of counselling for insurance and legal purposes.

 

 

Sharing Personal Data (who we share information with?)

Due to the prevalence of client digital activity, using both website interaction and online counselling sessions, it is important to understand who we are sharing your information with? A ‘Data Processor’, sometimes known as a ‘Data Controller’ describes a person or organisation that collects, stores and has responsibility for one’s personal data. 

We only share data with third parties when obliged by law, or for tax obligations, or for national security, or criminal or legal investigations. In order to provide business protection we may use your personal information in this policy for insurance purposes against a legal claim.

Therapy Sphere

In the first instance the primary data processor is us. We will collect and securely store your personal data as outlined in the personal data retention section above.

IONOS Web Hosting

As we also promote Therapy Sphere online using a website (www.therapy-sphere.co.uk), we also use a client ‘Contact Me’ form as a means to allow our clients to contact us. The contact form is part of our website and as such is hosted by our website hosting provider, known as IONUS UK https://www.ionos.co.uk/. IONUS is also known as a data processor and will only process visitor data from the contact form directly to us and not for their own benefit.

At present we do not collect data using Google Analytics as a means to reviewing website visitor behaviour patterns or trends.

Use of Internet Cookies

As with most Internet websites the use of cookies assists the site to operate more efficiently. When you visit our website, you will be given the option to choose which cookies you wish to accept.

UK Emergency Services

In the unlikely event that we need to contact the UK Emergency Services on your behalf we will share your personal data collected during our initial counselling session. Where possible this will be with your permission and consent. In this instance the UK Emergency Services will also be a data processor.

 

 

Use Data Protection Right – Your Consent

Under the data protection rights you have the right to any of the following:

  • Your right of access – you have the right to ask for copies of your personal data
  • Your right of rectification – you have the right to ask for us to modify your personal data that you believe to be inaccurate. You also have the right to ask us to complete information you believe to be incomplete.
  • Your right to remove – you have the right to ask us to remove your personal data in certain circumstances.
  • Your right to restriction of processing - you have the right to ask us to restrict the processing of your personal data in certain circumstances.
  • Your right to object to processing - you have the right to object to the processing of your personal data in certain circumstances.
  • Your right to data portability - you have the right to ask that we transfer the personal data you gave us to another organisation, or to you, in certain circumstances.
  • Your right to withdraw consent – when we use consent as our lawful basis you have the right to withdraw your consent.
